Privacy Compliance Deletion Overview

Objective

The purpose of this article is to provide context for what information is removed when a Privacy compliance deletion request is submitted.

Notes

This is a permanent and irreversible deletion process. Outreach recommends Admins consider the removal of information before continuing this process as Outreach Support will not be able to recover lost data.
Some Outreach views and options require admin-level governance permissions. If the options outlined in this article are unavailable, contact the Org's Outreach Administrator as applicable. For more information regarding governance profile settings, refer to the Governance Profile Settings Overview article.

Prospect

If a Prospect email address is entered, the following data in this table will be removed, with `X` indicating an ID or number:

Prospect List View Search	/prospects	Removed from being searchable
Prospect record	/prospects/X	The record itself will be removed
Account Association	/accounts/X/prospects	Removed from the Account’s Prospects list view (if Prospect had an associated Account)
Account Activity	/accounts/X/activity	Prospect Activity is removed from associated Account
Meetings Calendar View	/meetings	Users who had previously booked a Meeting with the Prospect become dis-associated. The Meeting block will provide no Prospect information
Meetings Agenda	/meetings/agenda	Meeting associated with the Prospect does not exist in the Agenda view
Tasks List View	/tasks	Any remaining Tasks associated to the Prospect are deleted and removed from this view
Outbox	/outbox	Any Mailings associated to the Prospect are anonymized to “Unknown” Messages are not viewable.
Call List View	/calls	Any Call logs associated to the Prospect are deleted and removed from this view
Sequence Activity	/sequences/X/activity	Any Activity recorded previously associated to the Prospect now becomes anonymized by referencing the Prospect as “Unknown” or “Someone”
Reporting Team Overview	/reports/teamPerformance	Reporting metrics do not get removed from a User’s stats, however, the data becomes anonymized to “Unknown”
Reporting Team Calls	/reports/teamCalls	Reporting metrics do not get removed from a User’s stats, however, the data becomes anonymized to “Unknown”
Reporting Team Emails	/reports/teamEmails	Reporting metrics do not get removed from a User’s stats, however, the data becomes anonymized to “Unknown”
Reporting Team Tasks	/reports/teamTasks	Reporting metrics do not get removed from a User’s stats, however, the data becomes anonymized to “Unknown”
360 Page Activity feed	/360	Any Activity recorded previously associated to the Prospect now becomes anonymized by referencing the Prospect as “Unknown” or “Someone”

User

For the following scenarios, the following data in this table will be removed, with `X` indicating an ID or number:

Notes:

Please note if a Username is input and Mailboxes do not match the Username, nothing will happen. Only direct User registered Mailboxes will have associated Mailings removed.
If a User has 2 Mailboxes, only the submitted Mailbox will be affected.
If an input with a Mailbox does not exist, nothing will occur.
If the original sender’s Mailbox was submitted and a Mailing thread contains another User, the Mailing will still be removed because the ownership lies on the original Sender

Prospect’s Sequence Activity Feed	/prospects/X/sequences/X	Reference links to Mailings are deleted and Activity notes are set to “You sent an email to prospect [PROSPECT_NAME] Step #X ([EMAIL_TYPE] email) of [SEQUENCE_NAME]”
Outbox	/outbox	Any Mailings associated to the User’s mailbox are anonymized to “Unknown”
Reporting Team Emails	/reports/teamEmails	Reporting metrics do not get removed from a User’s stats.
