Troubleshooting prospect creation errors: "Email is using an excluded email address" or "Your Outreach admins do not allow prospects with this email domain to be created."

Objective

This article provides instructions on how to resolve the follow errors when syncing, creating, and importing new prospect records into Outreach:

Email is using an excluded email address
Your Outreach admins do not allow prospects with this email domain to be created.

Procedure

If you see these errors, that means the email address or the domain of the record you're trying to bring into the Outreach system has been added to the "Block creation of prospects with specific email addresses" list under the Admin's Org Settings in Outreach. This list allows you admins to manage what records your Org may want to avoid creating in the Outreach system.

If you're an admin, please check the list and remove the domain values accordingly. More about this list in the Additional Information section below.

Note: you must be an admin to be able to edit or update this Org list. If you are not an admin, you'll need to reach out to one of them directly.

  1. If you're an admin, in Outreach click on the Administration cogwheel on the left-side navigation bar.
  2. Expand Organization on the left-side panel, and click on Org info.
  3. Under the General tab, you'll see the Block creation of prospects with specific email addresses field under the Emailing prospects section.

In some cases, you may also see a similar error: "Your Outreach admins do not allow prospects with this domain to be created." when trying to create or sync over your record. There is also an extended backend list that is only visible to Outreach Technical Support. If you see this error but the domain value is not visible in the above Admin's Org Settings, please reach out to Outreach Technical Support so we can remove the value from the backend list. Remember, this request must come from an Admin in the system.

This backend list is updated automatically to contain every domain that is associated with your Users' logins and mailboxes. How this works is the Outreach system will automatically include domains of new Users (not Prospects) on this backend list when they're created in Outreach. We assume since these records are Users (internal), then you most likely do not want to add them as prospects (leads/contacts) in the system. This is a security guardrail to prevent Users from accidentally creating a record as a prospect and syncing those emails as well as contacting them via Sequences and Triggers.

We do not recommend you request the removal of internal domains from this list, as doing so can potentially result in the creation of prospects for internal teams like HR, payroll, contractors, vendors, or legal, which can result in significant privacy concerns.

Even if Technical Support removes a domain from this list, if a new user is created with that domain in the future, that domain will be added to the backend list again, though any prospects that exist at this domain will not be removed at this time.
