How to Test Multi-User Assignment Setup

Objective

To test the multi-user assignment setup and ensure it is operating correctly. 

The document is NOT intended to be a comprehensive list of test cases. You must still validate the feature inside the specific needs of your business, and organizational setup and perform any required end-user validation to ensure it’s set up to work for your business.

Applies To

  • Outreach Admins

Procedure

Basic Validation

  1. Log into Outreach as an Admin.
  2. Navigate to Accounts. An Assigned column should be present.
  3. Click into an account.
  4. Click Edit.
  5. Enter multiple users into the assigned field.
  6. Click Done.

Perform the same validations for Prospects and Opportunities.

Profile Validation

  1. Navigate to Profile.
  2. Ensure the following settings appear and have the following values:
    • Administration > Modify Job Roles
      OFF by default, except for admins
    • Prospects > Edit assigned users for prospects

      OFF by default, except for admins

    • Accounts > Edit assigned users for accounts

      OFF by default, except for admins

    • Opportunities > Edit assigned users for opportunities

      OFF by default, except for admins

NOTE: Multi-User Assignment moves the governance model from ‘Owner’ to ‘Assigned’. Changes to the owner will not impact governance. You can learn more about it in the Migration Overview article.

Settings Validation

Ensure the following settings appear

  1. Click Settings Job Roles.
  2. Click Settings > Orgs > Multi-assignment
  3. Click Settings > Plugin > Account > Fields > Mappings > Ensure you have mapped Outreach Assigned to the Owner field and also to any other field you want to bring in from your CRM.

Scenario Validation

Once you have ensured that the feature is activated, profiles are set, and you have made sure the settings are appropriately set up, you can perform some additional scenario validations for Prospects, Accounts, and Opportunities.

  1. Navigate to a Prospect, Account or Opportunity page to confirm the Assigned to me Smart View.
  2. Navigate to a Record > Activity to confirm that changes to assignments are visible.
  3. Ensure changes to the owner and assignments in CRM are showing up by making a change in CRM and wait for the sync to complete.
  4. Ensure all other features used remain functional.
